This is a report of the calendar year, it should combine the reports so far for the year.
Remember to print and send a copy of the results of your submission to your Baronial Seneschal (if a canton) and Deputy for New Groups (if Incipient or Proto-Incipient).

  1. How long have you been in office? If over 2 years, do you have plans to change officers soon? Please Explain. (2 year terms are recommended but not required)
    Like this says, 2 years are recommended. If you've been in longer than 2 years, please explain why and any ideas you might have to remedy this. Burn-out can happen when you least expect it and it's better to rotate offices if necessary than to keep the same position for over 2 years.
  2. List of all group officers (including Your Baron and/or Baroness, if applicable) Please include names (SCA & Modern) and contact information.
    This means ALL of the group's officers. All contact information including both SCA & modern names. Seems self-explanatory but you wouldn't believe how many people did not do this correctly last year.
  3. Please estimate the number of non-member participants in your group. (If you want to estimate the number of paid members that you think your group has, please do, but we can come up with a number of paid members for each group easily.)
    This worked out very well last year. I can easily come up with what Corporate thinks you have but only you can estimate the number of people who actually show up in your group. If you have to take a poll at meetings or practices or on your group's e-list, that will work, too.
  4. Enter short descriptions of anything you did in the past year that went off particularly well or that you are especially proud of.

  5. Enter short descriptions of any problems faced during the past year and how they were handled.

  6. Write an overview of the following subects: Kingdom Events, demo, guilds, special projects, and collegia/universities held over the past year.
    Kingdom events are NOT just Crowns and Coronations but any event that was on the Kingdom calendar this year. You, know, those events that you had to write Event Reports for. You can go back to those reports and do a short synopsis here. More information on the number of guilds, demos, etc., would be helpful like how many guilds you have and when they meet; how many demos your group did and whether they were for recruitment or education or profit or just for fun; what kind of special projects (either group or individual that you know about); and classes held (who taught, when and how many attended the classes). That kind of thing.
  7. List members receiving awards during the reporting period and which awards were received. (Names are not important but it is good to have an idea of what awards are given and for what. If you do not know personally, please include your Herald's Domesday.)
    Again, it's not that important to know WHO but what kind of awards your group received. Something like 5 AoAs, 2 Cygnus, 1 Balefire, etc., is what I'm really looking for. (You can also add your own thoughts on whether this was an appropriate number or if there were people who were missed, etc. I'd like to have some idea how you feel that the system works on the local level and see if we need to help educate more people in who can write and how to write award recommendations.)
  8. Does your group have a local newsletter? If so, what is its name?
    It's not easy for the Kingdom Seneschal to keep track of who is sending copies of the local newsletters (since I also get copies of all of the other Kingdoms' newsletters as well) so it's better if you can tell me if you have a newsletter and whether you know if I'm getting it or not. (Also, the newsletter should be going to the Royal Family, the Kingdom Chronicler, the Kingdom Archivist, the Society Chronicler and the Society Archivist--just so you know.)

  9. Has your group received any media coverage during the year?
    (If so, please indictate where and when coverage occurred and include copies or location where they can be found electronically)
    It's better that I know from you what media coverage you've gotten though I hope this is redundant information and I'm also hearing from my deputy for Media Relations as well. Last year, she heard a lot from me about stuff that you reported to me that should also have gone to her. Since her Domesday is due earlier than any of ours (hers is due on January 5), please try to get that information to her BEFORE then.
  10. Future plans for your group?
    Remember, I'll be stepping down early in March and this will be good information for my successor so she knows what to be looking for ahead of time. It also shows the relative health of the group.
  11. Summation of the Domesday reports of all officers in your group. (Yes, this means that you should recieve a copy of each Domesday from the other officers in your group. If their report is due later than yours, please ask for a short summary of the year that can be included in your report.)
    I'm VERY serious about this! In most cases, their Domesday will already be done. I believe the Exchequer is the only one due later than yours. I do NOT want you to cut-n-paste their reports here OR copy me on their reports but I want a paragraph or two in your own word summing up their report. This will show that you're communicating with your officers and that you've read their reports. If you do NOT get one, I want to know so we can deal with that. Remember, a Shire (or Canton) can only exist with at least 3 reporting officers and a Barony with 6.
  12. If you are an applicant group (Outpost, Village, or Freehold), where are you in the process of achieving full status? (This can include where your Heraldry is in the process, stability of the group in general including officer changeovers, activities happening, event planning, demos, etc.)
    This question was supposed to be on the form last year and somehow got missed when we were creating the online Domesday form. I hope it makes it on this year. Please, let us know where you THINK you are in the process and what you are doing on your end to help achieve full status. If you have questions about the process or problems in dealing with any of the process or anything, this is a good place to add it.
